Position Description
Resources for Environmental & Occupational Health (REOH) is a small company headquartered in Missoula, Montana. We provide consulting services for the workers’ compensation and personal injury industries across the state.
Summary of position:
The Administrative Specialist position will act as the primary receptionist for REOH and will serve as the primary point of contact with current and potential clients, including adjusters, attorneys, nurse case managers, and evaluatees. This position is responsible for all scheduling-related duties. This position works closely with REOH’s Chief Operating Officer (COO) regarding marketing related tasks and front-end aspects related to billing. This position is also responsible for file management and serves as backup for file creation and medical record organization. This position also serves as backup for scheduling diagnostic tests.
Responsibilities:
* General Office & Reception: opening and closing procedures, answering phones and checking in evaluates, tracking and purchasing office supplies
* Scheduling & Client Services: scheduling our various types of evaluations as well as depositions, testimonies, and other medical legal work, handles all rescheduling and appointment requests, serves as first point of contact between REOH, our clients, and evaluatees
* File Management: physical and electronic file tracking, moving, scanning and shredding, assist in the printing of medical records, serves as backup for the organization of medical records and file creation
* Marketing: participating in marketing-related information meetings, researching marketing merchandise for conference booths and boothing at conferences, assistance with the facilitation of REOH lead webinars and tracking of attendees
* Billing: responsible for communicating with clients regarding work products, assist in the front end process of generating and disseminating client bills/invoices
The Administrative Specialist position will perform other related duties as assigned by the COO and/or staff physicians.
Abilities, Job Requirements, and Qualifications:
* Excellent customer service, interpersonal and written skills.
* Ability to work independently and in a self-directed manner in a team-oriented environment.
* Previous clerical and customer service experience acquired through working in a professional office environment, preferably in the healthcare and/or workers’ compensation industries.
* Computer literacy and knowledge of Office 365 and Microsoft programs (specifically Word, Excel, and Outlook); experience with Tebra preferred.
* Ability to develop constructive and cooperative working relationships with others and maintaining them over time.
* Ability to encourage and build mutual trust, respect, and cooperation among team members.
* Ability to complete long term and short-term projects on time, while executing routine duties.
* Ability to be sincere, loyal, and honest and serve with the utmost in ethical conduct.
* Working knowledge of all legal requirements, policies, and procedures related to workers compensation preferred (i.e., HIPAA, State of Montana Workers Compensation Act).
* Bachelor’s degree.
Our office is open Monday – Friday from 9:00 am to 12:00 pm and 1:00 pm to 5:00 pm. This position is full-time at 35 hours per week with a paid lunch. Starting pay range is $17-19 per hour.
